A customer or vendor payment was posted wrongly in Business Central: wrong amount, wrong bank, posted twice, or it never happened at all. Now you need to undo it without messing up the vendor balance, the bank reconciliation, or a month that Finance has already closed.
Quick answer
- Payment's month still open → Reverse Transaction from General Ledger Entries. BC reverses everything on the original date. (Method 1)
- Payment's month already closed → post a reversal journal dated in the current month, then apply it to the original payment. (Method 2)
- Either way: unapply the payment from its invoice first, and clear the two bank entries in your next bank reconciliation.
First, do you really need to reverse?
Reversing is for a payment that is wrong as a whole. Smaller mistakes have a cleaner fix:
| What's wrong | Best fix |
|---|---|
| Only the dimension (e.g. wrong department) | Correct Dimensions on General Ledger Entries. Nothing is reversed. |
| Wrong vendor or customer, but the bank side is right | Reclass journal between the two vendors (or customers). No bank lines, so your bank reconciliation isn't affected. |
| Whole payment wrong, month open | Method 1: Reverse Transaction |
| Whole payment wrong, month closed | Method 2: Reversal journal |
Reclass journal: two lines with the same Document No., no balancing account and Document Type blank. Line 1 is the wrong vendor with the opposite amount, applied to the wrong payment. Line 2 is the correct vendor, applied to their invoice.

Before you start: unapply the payment
If the payment has been applied to an invoice, both methods are blocked until you unapply it. Reverse Transaction shows this message:
You cannot reverse Vendor Ledger Entry No. 4204 because the entry is either applied to an entry or has been changed by a batch job.
- Search Vendor Ledger Entries (or Customer Ledger Entries) and select the payment.
- Choose Unapply Entries, then Unapply.
Month closed? On the Unapply page, change the Posting Date to a date in the open month. For a plain application (no payment discount, tolerance or currency difference), unapplying doesn't change any G/L balance.
Method 1: Reverse Transaction (month still open)
- Search General Ledger Entries and filter on the payment's Document No. or External Document No. (e.g. PV1234).
- Select any line of the payment and choose Reverse Transaction.
- The Reverse Transaction Entries page lists the whole transaction: both G/L lines, the vendor ledger entry and the bank account ledger entry. Look at the Posting Date. The reversal posts on the original date (6 June 2025 here) with the same Document No., and you can't change either.
- Choose Reverse, then Yes.
BC posts mirror entries with Source Code REVERSAL. In the vendor ledger, the original payment and its reversal are closed against each other and marked Reversed.
Tip: the same Reverse Transaction action is on Vendor, Customer and Bank Account Ledger Entries. Handy right after you unapply there.
When Reverse Transaction is blocked
- Month closed. BC shows: "You cannot reverse G/L Entry No. 4203 because the posting date is not within the allowed posting period." Use Method 2.
- Bank entry already reconciled. BC says the entry is closed. See the FAQ below.
- Payment is matched on an unposted bank reconciliation. Remove the match there first.
- Paid by check with a check ledger entry. Use Void Check on Check Ledger Entries instead.
- Posted from a document, not a journal, or already reversed once. Reverse Transaction only works on journal postings, and only one time per entry.
Method 2: Reversal journal (month closed)
Last month is closed and Finance won't reopen it. Post the reversal in the current month instead, and link it to the original payment so both are closed.
- Open General Journals. Set the Posting Date to a date in the open month (1 July 2025 here) and use a new Document No.
- Line 1: Account Type = Bank Account, the same bank (CHECKING), Amount = 1,000.00. This puts the money back.
- Line 2: Account Type = Vendor, the same vendor (10000), Amount = -1,000.00. This puts the payable back.
- Leave Document Type blank on both lines (see why below).
- Make it traceable: External Document No. = PV1234-REVERSAL, a Description like "Reversal of G04001 dated 6 Jun 2025", and the same dimensions as the original (Department PURCHASING here).
- On the vendor line, choose Apply Entries. Select the original payment (G04001), choose Set Applies-to ID, check that Balance is 0.00, then choose OK.
- Use Preview Posting to check, then Post.
✓ Done. June stays untouched, July shows the reversal, and both vendor entries are closed with zero remaining amount.
⚠ Why Document Type must be blank
BC checks the amount's sign against the Document Type. A vendor Payment must be positive, so a -1,000.00 "Payment" line stops with Amount must be positive in Gen. Journal Line (for a customer it says must be negative). Don't pick Refund either, unless the vendor really refunded you. Blank simply means a correction.
Optional: tick Correction on both lines (add the column with Personalize if you don't see it). The balance is the same either way, but the accounts' debit and credit totals won't be inflated by the mistake and its reversal. That's also how Reverse Transaction posts.
Reversing a customer receipt instead?
Same steps, opposite signs:
| Reversal journal line | Vendor payment | Customer receipt |
|---|---|---|
| Bank Account line | + amount | − amount |
| Vendor / Customer line | − amount | + amount |
| Document Type | blank | blank |
| Apply Entries to | the original payment | the original payment |
Last step: clear the pair in bank reconciliation
If the money never actually moved, your bank statement will never show the original or the reversal, so nothing will ever match them. Both stay as open bank account ledger entries. This happens with both methods, including BC's own Reverse Transaction.
- In your next Bank Account Reconciliation, add a statement line with Statement Amount = 0 and a clear description, e.g. "PV1234 posted in error and reversed".
- Select that line and both bank ledger entries (-1,000.00 and +1,000.00), then choose Match Manually.
- Post the reconciliation as usual. Both entries are now closed.
BC can hide reversed entries on the reconciliation page, but hidden isn't closed. Entries from Method 2 aren't flagged as reversed at all, so they always show.
FAQ
Can I choose a different posting date with Reverse Transaction in Business Central?
No. The reversal always uses the original entry's posting date and Document No. To reverse in a later month, post a reversal journal with Document Type blank and apply it to the original payment.
Why does Reverse Transaction say the posting date is not within the allowed posting period?
The original payment's date is before the Allow Posting From date in General Ledger Setup or User Setup, which means that month is closed. Use a reversal journal in the open month instead.
Why can't I use Document Type Payment on the reversal journal line?
Business Central checks the sign. A vendor payment must be positive and a customer payment negative, so the opposite amount is rejected. Leave Document Type blank.
Can I reverse a payment that has already been bank reconciled?
Not with Reverse Transaction, because the bank ledger entry is closed. A reconciled payment usually means the money really moved, so check that first. If only the vendor or customer was wrong, use a reclass journal and leave the bank side alone. If the reconciliation match itself was wrong, undo the posted bank statement first.
Do I need to unapply the payment before reversing it?
Yes, if it was applied to an invoice. Unapply it in Vendor or Customer Ledger Entries first. If the month is closed, set the posting date on the Unapply page to a date in the open month.
