Your store team found defective items after the goods were received (GRN) in Business Central, and the vendor has agreed to replace them. Now you need to send the bad stock back and receive the replacement, without messing up your inventory cost or the vendor balance.
Quick answer
- GRN not invoiced yet → Undo Receipt, then receive the replacement on the same PO. (Scenario A)
- GRN already invoiced → a Purchase Return Order to send the item back, a new PO to receive the replacement, then apply the credit memo against the replacement invoice. (Scenario B)
First, check: has the receipt been invoiced?
Open the Posted Purchase Receipt and look at Quantity Invoiced on the line.
- 0 or blank → go to Scenario A.
- Has a value → go to Scenario B.

Scenario A: Received but not yet invoiced (easiest)
- Search Posted Purchase Receipts and open the GRN.
- In the Lines section, select the defective line, then choose Functions → Undo Receipt.
- Confirm. BC posts a reversal line, and the quantity becomes available to receive again on the same PO.
- When the replacement arrives, open the same PO and post Receive. Invoice as normal when the vendor bill comes in.
Good to know
- The stock must be untouched. If any of the received quantity has been sold, consumed or transferred, Undo Receipt won't work.
- It posts on the original receipt date. If that period is closed, ask Finance to open the posting dates temporarily.
- It undoes the whole line. Only 3 of 10 units defective? Undo the full line, re-receive the 7 good units right away, and receive the other 3 when the replacement arrives.
- The defective units are still on your shelf but no longer in BC. Label them and keep them aside for the vendor.
What if the receipt has already been invoiced?
Undo Receipt is blocked. BC shows this message:
This receipt has already been invoiced. Undo Receipt can be applied only to posted, but not invoiced receipts.
There's no way to "un-receive" an invoiced GRN. Use Scenario B below.
Scenario B: Received and invoiced
You need two documents: a Purchase Return Order to send the defective item out, and a new Purchase Order to receive the replacement in. Then you knock them off against each other in the vendor ledger.
Before you start: get the RMA number
RMA (Return Merchandise Authorization) is the reference the vendor gives you when they agree to take the goods back. Use it as the same prefix on every document so you can find, match and close everything later.
| Document | Field | Example |
|---|---|---|
| Purchase Return Order | Vendor Authorization No. | RMA2026-013 |
| Purchase Return Order | Vendor Cr. Memo No. | RMA2026-013CN |
| Replacement PO | Vendor Shipment No. | RMA2026-013GRN |
| Replacement PO | Vendor Invoice No. | RMA2026-013INV |
If the vendor issues a real credit note or invoice, use their document numbers instead.
Part 1: Send the defective item back (Purchase Return Order)
- Create the return order. Search Purchase Return Orders → New. Select the vendor, then fill in Vendor Authorization No. (RMA2026-013) and Vendor Cr. Memo No. (RMA2026-013CN).
- Pull in the original line. Choose Prepare → Get Posted Document Lines to Reverse, pick the original posted invoice line, and change the quantity to the defective quantity only. This links the return to the original receipt, so the item goes out at exactly the original cost. BC also adds comment lines showing the original invoice and receipt numbers. Keep them as your audit trail.
- Optional: enter a Return Reason Code on the line so you can report on why items were returned.
Skip "Move Negative Lines". You'll see it on the same Prepare tab. It can create the replacement PO from a negative line on the return order, but if someone forgets to run it and posts the return order with both lines, the replacement gets posted inside the return order, and that's a mess to unwind. A separate PO (Part 2) is simpler and safer.
- Post. Choose Post → Ship and Invoice. BC creates a Posted Return Shipment (stock out) and a Posted Purchase Credit Memo (RMA2026-013CN). The return order then disappears from the list. That's normal; find it under Posted Return Shipments and Posted Purchase Credit Memos.
⚠ Posted "Ship" only? Come back and post "Invoice".
If the vendor collects first and you post Ship only:
- The Purchase Return Order stays in the list forever. BC only closes it when it's fully shipped and invoiced, and it won't let you delete it.
- The expected cost is not reversed. Only the expected cost moves; the actual cost of the defective item stays in your inventory and G/L until the credit memo (Invoice) is posted.
Part 2: Receive the replacement (new Purchase Order)
The original PO is fully received and invoiced, so there's nothing left to receive on it. Create a new one.
- Create a new PO for the same vendor, same item, the exact replacement quantity and the same unit cost.
Shortcut: choose Prepare → Copy Document, set Document Type = Posted Invoice and pick the original invoice. Leave Recalculate Lines off so the original cost is kept. Then delete the lines you're not replacing and change the quantity. - Fill in the references: Your Reference (e.g. Item Replacement for PO106024), Vendor Shipment No. (RMA2026-013GRN) and Vendor Invoice No. (RMA2026-013INV).
- When the replacement arrives, choose Post → Receive and Invoice. This posts your new GRN and the "dummy" invoice. Check that the amount matches the credit memo.
Part 3: Knock off the credit memo against the dummy invoice
- Search Vendor Ledger Entries, filter by the vendor, and select the RMA2026-013INV invoice.
- Choose Apply Entries, select the RMA2026-013CN credit memo, choose Set Applies-to ID, then Post Application.
✓ Done. Both entries are closed with zero remaining amount, so nothing gets paid. The defective stock is out at its original cost and the replacement is in with a fresh GRN.
Tip: Ask the store team to report defects before the vendor invoice is posted. Then you're in Scenario A: one Undo Receipt instead of four documents.
FAQ
Can I undo a GRN after it has been invoiced in Business Central?
No. Undo Receipt only works on posted receipts that are not yet invoiced. Use a Purchase Return Order to send the item back and a new Purchase Order to receive the replacement.
Does Business Central create the credit memo when I create a Purchase Return Order?
No. The Posted Purchase Credit Memo is only created when you post the return order with Invoice, or Ship and Invoice.
The vendor didn't issue a credit note. What do I enter in Vendor Cr. Memo No.?
Use the RMA number with a suffix, for example RMA2026-013CN, and RMA2026-013INV for the replacement invoice. The same prefix makes them easy to match and apply.
Why is my Purchase Return Order still in the list after posting?
It was posted with Ship only. Business Central only closes a return order when it is fully shipped and invoiced. Post the Invoice to create the credit memo and close it.
Why can't I receive the replacement on the original Purchase Order?
The original PO is fully received and invoiced, so there is nothing left to receive. Create a new PO, or use Copy Document from the original posted invoice.
