Fixing 'There is no Cust. Ledger Entry within the filter' when posting Sales Credit Memos and Invoices
If you have tried to post a sales credit memo or sales invoice and been stopped by the message below. It is one of the posting errors due to data issue on the document itself, not a system fault.
Filters: Customer No.: xxx, Document Type: Credit Memo / Invoice, Document No.: xxx, Open: Yes
What Business Central is actually telling you
When a sales document has Applies-to Doc. Type and Applies-to Doc. No. filled in, Business Central tries to apply the new entry against that existing customer ledger entry as part of posting. To do that, it searches Customer Ledger Entries using the filters shown in the error. If no entry matches every filter, posting stops.
So if you are posting a credit memo and the error says Document Type: Credit Memo, your credit memo is set to apply against another credit memo. That is almost always a sign the application fields are wrong.
Common causes
The target entry is already closed. The invoice was paid, or applied to another payment or credit memo, after the application was set on your document. This happens a lot when a credit memo is created with Copy Document from a posted invoice and then left for a while before posting.
Wrong number or wrong type. A typo in Applies-to Doc. No., or the type is set to Credit Memo when it should be Invoice (or the other way round).
Different customer. The entry exists, but under another customer, or the Bill-to Customer on the document was changed after the application was set.
A value written by an integration or import. If the Document No. in the error looks like {0974C466-D875-47CC-, that is not a document number at all. It is a system ID (GUID) cut off at 20 characters, the maximum length of the field. Something outside normal data entry, such as an API integration, a data import or an add-on extension, wrote it into Applies-to Doc. No. No ledger entry will ever match it.
How to fix it, step by step
- Read the filters in the error. Note the Document Type and Document No. These tell you exactly what Business Central was looking for.
- Open the document and find the application fields. Look for Applies-to Doc. Type and Applies-to Doc. No. in the document header. On some pages they are hidden until you choose Show more. If the document is Released and the fields cannot be edited, choose Reopen first.
- Check the target in Customer Ledger Entries. Filter on the customer and search for the Document No. Confirm that the entry exists, that its Document Type matches, and that it is still Open with a Remaining Amount.
- Correct the application.
- If the right entry exists and is open, clear both Applies-to fields, then use Apply Entries (Shift+F11) on the document to select the correct entry.
- If the target entry is already closed, clear both fields and post without an application. The credit memo stays open on the customer's account, and you can apply it later to another invoice or refund it.
- Release and post again.
Preventing it next time
After using Copy Document to create a credit memo, check the Applies-to fields before posting, especially if a few days have passed and the invoice may have been paid in the meantime.
If you are unsure what to apply to, leave the application blank. Posting does not require one, and you can apply the entries afterwards from Customer Ledger Entries.
Still stuck? Take a screenshot of the error and the document header showing the Applies-to fields, and send it to your support contact. Those two pieces are usually enough to pinpoint the problem quickly.
